1. Create your Hey EVBox account


Setting up your Hey EVBox account is simple.

1. Visit hey.evbox.com and select Sign up.
2. Fill in your name, e-mail address, and password. Note that your password should comply with the security requirements provided.
3. After clicking the Sign up button, you will receive an e-mail with a link to activate your account. The link is valid for 24 hours. Once you have activated your account, registration is complete.

The first time you login, you will be guided through setting up your profile.

1. Select your preferred language.
2. Then select your account type. Due to legal and billing requirements, it’s important that you select business account if you’re managing a business, and consumer account if you’re a private user. The functionalities differ per customer type.
3. Now fill in the requested details and click the Complete setup button.

You will automatically be navigated to the dashboard and you’re all set.

 


 

2. Activate your charging station(s)


It's time to activate your station. You must complete this step to be able to use your station, manage its settings, and track all sessions.

1. Click on the plus button at the bottom right of the Dashboard screen and select Activate Station.
2. Fill in the Station Details form. You will be requested to enter your Station ID and Security code, both of which can be found in the charging station delivery box or on your packing slip. You can also opt to fill in a reference name for your station. Click Next.
3. Enter the location of your charging station, either by address or geo coordinates. Click Next.
4. Enter the billing information for your subscription. The information here is copied from your account details but can be edited if necessary. Click Next.
5. Select your subscription. You can also opt to fill in a PO number for your subscription. Click Next.
6. Review the information and accept the Terms and Conditions of your subscription. Click Complete.

Your station is now activated.

 


 

3. Activate your card or keyfob


You must activate your card or key fob. This step is required so you can use the card to charge and track card transactions.

1. Click on the plus button on the bottom right of the Dashboard screen and select Activate Card.
2. Fill in the Card Details form. This will request your Contract ID which can be found on the back of your card or key fob. You can also choose to enter a reference name. Click Next.
3. Enter the billing information for your subscription. The information here is copied from your account details but it can be edited if necessary. Click Next.
4. Select your subscription. You can also opt to fill in a PO number for your subscription. Click Next.
5. Review the information and accept the Terms and Conditions of your subscription. Click Complete.

Your card is now activated.

 


 

4. Invite users to your account - Business accounts


As the owner of a Business account, you can invite both customers and system users to your account.

Customers: You can invite a customer to your account. These users will become sub accounts of yours and will only be able to see assets and events in their own sub account. Customers can be Account Owners meaning they will have their own normal accounts as sub accounts to yours or Drivers meaning they are only able to view and use their assets, and not change any settings. Drivers are eligible for automatic reimbursement etc.

System Users: As a business owner, you can also invite additional system users to your account. You can assign them one or both of the following roles:

Account Admin: This is similar to an account owner. You can invite others, such as family members, to use your charging station and track their charging sessions by assigning them the account admin role.

Account Station Admin: This role allows a user to help solve any problems your station might be experiencing remotely. For example, you could invite your local installer to your account as an Account Station Admin. Note, they will not gain access to your billing information.


To invite a new user, navigate to the Users page in the sidebar menu.

1. Choose if you want to invite a Customer or System user by navigating to either page.
2. Click on the plus button on the bottom right of the respective User screen.
3. Fill in the email address of the user you want to invite.
4. Assign the user one or more roles. Click Send invitation.

Your user is now invited.

 


 

5. Invite users to your account - Consumer accounts


If you wish, you can add users to your account and assign them one or both of the following roles:

Account Admin: This is similar to an account owner. You can invite others, such as family members, to use your charging station and track their charging sessions by assigning them the account admin role.

Account Station Admin: This role allows a user to help solve any problems your station might be experiencing remotely. For example, you could invite your local installer to your account as an Account Station Admin. Note, they will not gain access to your billing information.


To invite a new user, navigate to the Users page in the sidebar menu.

1. Click on the plus button on the bottom right of the Users screen.
2. Fill in the email address of the user you want to invite.
3. Assign the user one or more roles. Click Send invitation.

Your user is now invited.

 


 

6. Activate Public Charging on your station


Through the Hey EVBox Business subscription's public charging feature, you benefit from:

    • Additional revenue, to help recover your hardware investment.
    • Increased publicity, from station(s) being shown on various public charging maps.
    • Automated invoicing, to remove the hassle of collecting money from drivers. Hey EVBox takes this responsibility off your shoulders.

    Activating Public Charging for your station can be done easily with Hey EVBox.

    Step 1: Add reimbursement details

    For us to know where to pay your potential revenue, we first need your bank details.

    1. Open your User Profile on the top right and select Account.
    2. Navigate to the Reimbursement tab.
    3. Enter the bank details of the person who is to receive the reimbursement.
    4. Leave the reimbursement rate blank, this is used for private charging.
    5. Click Save.


    Step 2: Make your station public

    1. Click Stations in the sidebar menu.
    2. Select the station you wish to make public.
    3. Navigate to the Charging features tab.
    4. Mark the Public charging checkbox.
    5. The tariff field will automatically open. Fill in the fee you’d like to set for energy usage. Click Save to make your station public.


    NB: Public Charging is currently not offered in Germany and Portugal due to legal restrictions.

     


     

    7. Set up manual reimbursement


    Through Hey EVBox manual reimbursement you can easily track the usage of your station when charging a company vehicle at home. You will pay your utility company for the electricity and can claim this as an expense from your employer.

    Step 1: Enter reimbursement rate

    Enter a reimbursement rate that will be applied to all private charging sessions in your account.

    1. Open your User Profile to the top right and select Account.
    2. Navigate to the Reimbursement tab.
    3. Enter the rate of which you should be reimbursed in the Reimbursement rate field. This rate is an amount in your currency per kWh to be reimbursed.
    4. The rate is a certain amount per kWh consumed during private transactions.
    5. Click Save.


    Step 2: Download the station's transaction history

    From the information provided in the transaction history file, you can get an overview of the amount you should be reimbursed.

    1. Go to Stations → Management.
    2. Select your station.
    3. Navigate to the Transactions tab.
    4. Filter on the period for which you wish to download the transactions by selecting the From and To dates using the calendar.
    5. Click Download.
    6. Select CSV or PDF, depending on the format in which you wish to download the transaction history.


    The downloaded file will summarize the amount of which you should be reimbursed as well as show how much of this is for each transaction.

     


     

    8. Set up automated reimbursement


    With Hey EVBox’s automated reimbursement, you can automatically track your employees’ charging when charging a company vehicle at their home. Hey EVBox will invoice you—as the employer or fleet manager—for their consumption, and will automatically reimburse this amount to your employee.

    Step 1: Invite driver

    Having a business account lets you invite the employee as a driver.

    When inviting a driver, the system lets you set a Reimbursement rate for the account. The rate is a certain amount in your currency per kWh charged during private transactions on this drivers’ account.

    When the driver is invited, they need to activate their account before proceeding.



    Step 2: Activate assets in driver account

    Activate the stations and cards(s) for the driver account by following the process.

    Select Yes when asked: Do you want to assign this station to an existing account? Search for and select the driver account for which you are activating this asset.

    Tip: If you’re unsure of the name of the drivers’ account, it can be found under Accounts in the sidebar menu.

    The driver can now charge at the stations activated for them with the activated cards and reimbursement is automatic.

     


     

    9. Set up a Charging Profile on your station


    Hey EVBox offers a Smart Charging feature called Charging Profiles. Charging Profiles allow you to schedule the amount of power provided by a station on an hourly, daily, and weekly basis.

    Step 1: Create Charging Profile

    1. Navigate to Stations → Charging profiles.
    2. Click the plus button in the bottom right corner.
    3. Enter a Charging profile name that matches the purpose of the charging profile.
    4. Enter a Maximum current (A) in the field.
    5. Expand the day you want to set. Adjust the maximum amperage from midnight, according to your needs.
    6. Click + Add to create a new row.
    7. Select a time from which you wish to apply a different maximum amperage using the From dropdown.
    8. Enter a maximum amperage for this new time period in the Maximum current (A) field.
    9. You can add as many different times as you wish, on an hourly basis.
    10. Click Save to create the profile. Please note that the maximum amperage cannot be higher for any time period compared to the maximum amperage set for the entire profile for you to save the profile.


    Step 2: Assign Charging Profile to station

    1. Navigate to Stations → Management.
    2. Search and click the station to which you want to apply scheduled charging.
    3. Open the Charging profile tab.
    4. Search for the profile you wish to assign to the station.
    5. Select the profile from the dropdown.
    6. Click Assign.
